Access to the survey services

Through the Center of Information and Media Processing (ZIM), the university of Wuppertal provides its members with a tool for creating and analysing online surveys.

There are two LimeSurvey systems at the university of Wuppertal. The context of the survey and your relationship with the university of Wuppertal will determine which system to use. In addition, there are a number of legal considerations to bear in mind in each case.

Employees

Where staff conduct surveys for work-related purposes – which includes (university) research projects, but not doctoral theses – the university of Wuppertal is the data controller within the meaning of data protection law. This refers solely to responsibility under data protection law. Responsibility for ensuring that the survey is carried out in accordance with the law lies (internally) with the department conducting it.

To ensure the survey is conducted in accordance with the law, it is particularly important to ensure the lawfulness of data processing (legal basis), to inform data subjects (privacy notices) and to document the data processing (documentation of processing activities). Students

As is also evident from examination regulations, students produce independent (academic) work in their own name. They are therefore data controllers within the meaning of data protection law. Consequently, the Data Protection Officer at the university of Wuppertal is not the student’s Data Protection Officer. The North Rhine-Westphalia Data Protection Act applies only to public bodies within the state and therefore does not apply to students.

PhD students

PhD candidates carry out academic work in their own name. They are therefore data controllers within the meaning of data protection law. Consequently, the Data Protection Officer at the university of Wuppertal is not the data protection officer for the PhD candidate. The North Rhine-Westphalia Data Protection Act applies only to public bodies within the state and therefore does not apply to doctoral candidates.

Access to the system for doctoral candidates / students

Where doctoral candidates are working on (university) research projects, the section on employees applies. This section deals solely with the doctoral thesis.

Designing a survey in compliance with data protection legislation

Information on how to design surveys in compliance with data protection legislation can be found – in addition to the BUW’s internal data protection information page – in the LimeSurvey manual.

Retention periods

Response tables and any token tables for deactivated or expired surveys are deleted by ZIM every six months, i.e. six months after the end of the survey.
The survey itself, if it has been deactivated or has expired, is deleted after 24 months.

Please export all results and surveys from the server once surveys have ended, and then delete them.
